Experiences ...

Many great ideas fail because basic business tasks were not performed properly.

It is not sufficient enogh having the perfect product or an optimal distribution producing a maximum of turnover - products have to be shipped, invoices have to be created, booked or cancelled. The more your enterprise gains pace the more required a structured handling of business becomes.

At beginning a manual creation of invoices might be sufficient, a collection of receipts handed over to your tax consultant, shipments processed with the help of a lot of friends - but from a certain size of your business structured processes are required.

VNet Back-Office supports in these tasks.

VNet Back-Office is divided into two parts: Setup and Day To Day Tasks.

Within part Setup you specify:

  • Supplier
  • Warehouses
  • Products
  • Product Categories
  • Order of products within the shops
  • Customer Groups
  • Rebates
  • Welcome Messages for new Partners
  • and more

Setup ...

VNet Back-Office Setup offers various options for designing your enterprise in software. For example, you specify all warehouses as detailed as possible. VNet Back-Office supports even concepts which are less common in Western Europe, i.e. creation of Pickup Shelves. Such a shelf could be run by a sales partner. Such a constellation is often used in countries like Russia. The sales partner in his role as Warehouse has to act same way as your main warehouse - just ... limited. Therefore you can assign rights to warehouses and more over assign rights to users of the VNet Back-Office.

Ex.: You can define a Warehouse as Pickup-Shelf, means customers can pick up goods there. When ordering goods no delivery costs will be charged when selecting one of these warehouses. You assign the role of warehouse owner to one of your sales partners. This user is now entitled to book picked goods or to order new goods from a central warehouse. You steer from which warehouse this partner can order new goods.

Your Day To Day Tasks contain:

  • Booking of orders and invoices
  • Manual creation of orders and invoices
  • Shipment Handling
  • Stock Handling
  • Search for Partners or Customers - base information for answering questions
  • and more

For all business critical tasks VNet Back-Office offers convenient solutions..

Daily tasks...

... often day to day tasks are concerning money transfers, like assigning payments to orders (which influences provisions) or answering requests (often related to payments or provisions). VNet Back-Office therefore lists those tasks at top of all possible tasks you can perform.
Note: VNet Back-Office distinguishes between:
  • Order (Red)
  • Payment - but money transfer can be recalled (Yellow)
  • Payment - ready for provisioning (Green)
  • Payment - provisioned (Blue).

Payments will be booked automatically when payements took place by VPS or other supported online payment systems. Payments can be booked manually when done by Bank Transfer or unsupported online payment systems. Booked payments can be cancelled in case they were booked errenously.

Note: We recommend not to accept payments by credit cards - please contact us for details.

VNet Back-Office is completely controlled by access rights. That means you can create and maintain Users and Groups plus assign rights to them. By this you assure that only special users can perform special tasks.

VNet Back-Office reacts to the status of a user with an adapted user interface - for example, users responsible for warehouses will get a user interface which enables all required tasks but is restricted in other areas. On the other hand, your main users are entitled using more functions. Users who are assigned to perform translations will receive restricted access allowing just this one task.

User Management:

You specify who of your employees is entitled to perform which task.

You define who takes over tasks in case of holidays.

This can be done easily using the VNet Back-Office User Management.

By default VNet Back-Office offers various roles for your employees - each role having explicit rights assigned to.

Typical Roles are:

  • Super User - Nearly full access to the system
  • Logistics - Handles shipments and orders
  • Support - Handles user requests
  • Accounting - Handles bookings, orders, invoices and documents
  • and more ...

Therefore you can grant new rights for an employee temporarily by assigning a new role to this employee. In case this role is granting too much or too less rights for the person you can define new roles. Alternatively you assign explicit rights to this single person.

Moreover VNet Back-Office supports concurrent user access - that means user A cannot overwrite the work of user B accidently. This is important in case shipments are processed or bookings performed - you make sure a shipment gets assigned just one unique action and no booking is handled differently by two persons at same time.

Network Marketing specific solutions

VNet Back-Office offers Network Marketing specific solutions, already built in, to you.

For example, using the Stop Word List all phrases can be defined which shall never become a Thirdlevel-Domainname. Doing this prevents the problem using phrases which are legally suspect or reserved for the enterprise (i.e. Sales or Marketing).

Using Welcome Messages allows sending new partners an automated personal message after having joined your team, informing about topics of interest. Welcome Messages can be published in different languages.

Using the Material Server you targetly publish business material for your sales team. This can be legal material (i.e. Terms of Trade, Partner Contract, etc.), product descriptions or training materials. Documents can be of type PDF, Powerpoint, Word or any other document type. Of course, you can publish documents for every market and language seperately. Your sales team uses the VNet-Office in order to access the documents.

VNet Back-Office is - since being an internetbased Application -scalable. That means you can grow with this application. Because of our licence model no extra costs arise when your enterprise starts developing.
